Invoicing FAQs
Do I have to use Xero or QuickBooks to invoice with SortScape?
No. SortScape has built-in invoicing, so you can create, send, and manage invoices without connecting any accounting software. Xero and QuickBooks Online are on Premium: connect one and SortScape creates the invoices there instead.
How does the Xero integration work?
On the Premium plan, connect your Xero account and SortScape syncs your customer and product information. When visits are complete, you create Xero invoices directly from SortScape, individually or in batches. Invoices are then in Xero for sending, payment tracking, and reconciliation.
Can I invoice monthly even though I visit weekly or fortnightly?
Yes. You choose the invoicing rhythm. Many garden maintenance businesses visit fortnightly and send one invoice a month covering all visits in the period. SortScape supports per-visit invoicing and batch invoicing across a date range.
Can customers pay online?
Yes. With online payments enabled, invoices include a Pay Now button that takes customers to a secure card payment page. SortScape records the payment automatically, marks the invoice paid, and emails a receipt.
Does SortScape chase overdue invoices for me?
On the Premium plan, yes. Automatic invoice follow-up sends reminder messages for unpaid invoices so you get paid without awkward phone calls.
How does time tracked on site end up on the invoice?
Crews use the visit timer or enter hours and materials against each visit. When you create the invoice from that visit, the recorded time and materials come through as line items, priced using your rates and product catalogue.
Is there a limit on how many invoices I can send?
