Time tracking

Know exactly where the day went, without paper timesheets.

Guessing hours at the end of the week costs you money twice: unbilled time and mispriced jobs. SortScape captures time and materials as the work happens, then feeds them straight into invoices, reports, and payroll-ready timesheets.

Job timer and expense tracking on every plan.

Track it once, use it everywhere.

The same hours your crew records on site power your invoices, your payroll timesheets, and your profitability reports.

One-tap visit timer

Crew arrives, taps start. Job done, taps stop. Time on site is captured automatically, and marking the visit complete stops any running timers.

Materials on the visit

Fertiliser, mulch, green waste fees: record materials against the visit from your priced catalogue, with markup applied, so they reach the invoice.

Weekly timesheets

Employees submit their hours each week. Set a submission deadline, require approval, and assign an approver per team so payroll gets clean numbers.

Estimated vs actual hours

See which properties blow their time budget. Premium reports compare estimated and actual hours per property, employee, and visit.

Forgot the timer? No drama

Add or edit hours manually on any visit before it is invoiced. Timers help, but they never hold your billing hostage.

Timestamps on photos

On Premium, job photos carry automatic timestamps. Handy proof of attendance when a customer asks whether you really came on Tuesday.

Why it matters

The quiet killer in lawn care is the job that grew.

You quoted 45 minutes two years ago. The hedges got taller, the garden beds got bigger, and now the crew is there for an hour and a half at the same price. Without time tracking you never see it happening.

With actual hours on every visit, SortScape shows you estimated versus actual time per property, so you can reprice with evidence instead of awkward guesswork.

The full loop:

  1. 1

Crew taps start timer on arrival.

  2. 2

Materials get recorded against the visit.

  3. 3

    Visit marked complete, timers stop.

  4. 4

Hours and materials flow onto the invoice.

  5. 5

Weekly timesheets go to payroll, approved.

  6. 6

Reports show which jobs actually make money.

Time tracking feeds the whole workflow.

Visits come from your schedule, arrive in the best order thanks to route optimisation, and the tracked hours become invoices the moment work is done. Better data also means sharper quotes next time.

Time tracking FAQs

How does the visit timer work? +
Open a visit in the app and tap start timer. The time spent section shows everyone which timers are running. Tap stop when you are done, or just mark the visit complete and all timers on it stop. Each person can have one timer running at a time, and starting a timer on a new visit stops the previous one automatically.
Can I fix hours if someone forgot the timer? +
Yes. You can add, edit, or delete hours on a visit manually at any point before that visit is invoiced.
How is this different from timesheets? +
Visit time tracking measures time on the job for costing and invoicing. Timesheets record each employee's total weekly hours for payroll, with optional submission deadlines and an approval workflow. SortScape includes both, and timesheets can be generated from the hours already tracked on visits.
Does tracked time end up on invoices? +
Yes. For time and materials visits, the recorded hours and materials become invoice line items priced at your rates. Fixed-price visits can still track time so you know your real margin.
Can I see which customers take longer than quoted? +
Yes. Premium business reports include estimated versus actual hours and hours over budget by property, so you can spot the lawns quietly eating your margin and reprice them.
Does SortScape export timesheets to payroll software? +
There is no direct payroll integration. Timesheets live in SortScape with submission and approval workflows, and you can export the data to CSV for your payroll process.
