Why is the invoice PDF not attached to the invoice emails?

The invoice PDF is attached to the email when:

  • You use SortScape’s built-in invoicing
  • You use QuickBooks Online
  • You use Xero with Email Xero invoices from SortScape? turned on under SettingsIntegrationsXero

This only applies to Xero when invoices are emailed from Xero itself (with Email Xero invoices from SortScape? turned off).

Xero doesn’t send the attachment with the email when the email is triggered by an external system like SortScape. When using Xero with Sortscape, invoices are created and managed entirely within the Xero system. Sortscape is responsible for sending the invoice details to Xero, which then takes over the invoicing process. This ensures that users can leverage Xero’s robust invoicing capabilities while Sortscape facilitates the integration by transmitting key details.

To address the PDF attachment limitation, enable Email Xero invoices from SortScape? under SettingsIntegrationsXero. When turned on, invoices will be emailed from SortScape with the PDF attachment included, effectively addressing the API restriction. The invoices will still show as “sent” within Xero even though they are sent from SortScape. To edit the email template, open SettingsMessagingInvoice messages.
