Sales and tax report (Excel export)

This report is available in the web app only. It is only shown for accounts using SortScape built-in invoicing (not Xero or QuickBooks Online invoicing).
Use the Sales and tax report (.xlsx) export when you want a spreadsheet summary of your invoices, payments received, and tax totals for a period.
It is designed for review and reconciliation with your accountant. It is not tax advice, and it is not a BAS or VAT return.
Download the report
Section titled “Download the report”- Open Invoices.
- Click Export.
- Select Sales and tax report (.xlsx).
- Choose a Period, then download.
The report opens a small modal first. The invoice list CSV export still downloads immediately, using your current list filters.
What is included
Section titled “What is included”The workbook includes four tabs:
- Sales and tax summary: summary totals for the period, plus what the report includes and excludes.
- Invoice detail: one row per invoice that was issued in the period, plus invoices that received a payment in the period.
- Payment detail: one row per payment recorded in the period.
- Monthly summary: one row per month in the period, with invoice and payment totals side by side.
Invoices issued vs payments received
Section titled “Invoices issued vs payments received”The report shows two ways of looking at the same period:
- Invoices issued uses the invoice date. This is useful when you want totals based on when invoices were dated.
- Payments received uses the payment date. This is useful when you want totals based on when money came in.
It is normal for these numbers to be different. For example, you might issue invoices in June and receive the payments in July.
Period presets and custom dates
Section titled “Period presets and custom dates”When you open the export modal, you can choose:
- A preset period (recent quarters and completed years)
- A custom start and end date
Year presets follow your business country. Australia uses a July to June year, New Zealand uses an April to March year, and most other countries use a calendar year.
Tax wording in the workbook
Section titled “Tax wording in the workbook”The export dialog uses the generic word tax.
Inside the Excel file, the column headings and labels use the most common local tax name for your business country. For example, Australia and New Zealand use GST, and the UK uses VAT.
Tips for working with the spreadsheet
Section titled “Tips for working with the spreadsheet”- If you are reconciling, start with the Sales and tax summary tab, then drill into the invoice and payment detail tabs.
- If you have partial payments, check the Payment detail tab for the individual payment rows.
- If you need a month-by-month view for a longer period, use the Monthly summary tab.
If you invoice through Xero or QuickBooks Online
Section titled “If you invoice through Xero or QuickBooks Online”This report is for SortScape built-in invoicing. If you invoice through Xero or QuickBooks Online, use the reporting tools in your accounting system for tax and year-end reporting.
