Setting invoice due dates

Where the invoice due date is set — and how you change the default — depends on how you create invoices in SortScape.

Important: SortScape supports three invoicing options. Many customers use SortScape’s built-in invoicing without connecting to Xero or QuickBooks Online. Only follow the Xero or QuickBooks instructions below if you have that integration connected and invoices are created in that system.

If you create, send, and manage invoices directly in SortScape (without sending them to Xero or QuickBooks Online), the invoice due date is controlled in SortScape — not in an external accounting system.

To change the default due date for new invoices (for example, to keep invoices at 7 days):

  1. Log in as an administrator.
  2. Go to the Invoice settings screen.
  3. Update the Default due date setting.
  4. Save your changes.

New invoices you create from SortScape will use this default. You can still change the due date on an individual invoice when you create or edit it.

How to tell if this applies to you:

  • You are not connected to Xero or QuickBooks Online, or
  • You have SortScape Invoices enabled on the Invoice settings screen and invoices appear in SortScape’s Invoicing screen.

If you are unsure, open the Invoice settings screen. If you are using built-in invoicing, you will see SortScape invoice settings there rather than only Xero or QuickBooks connection options.

If you create invoices in SortScape that are sent to Xero, the due date is set by Xero — not by SortScape.

Xero uses the Sales Invoices Default Due Date setting when creating an invoice. Update that setting in Xero to change the default due date for new invoices created from SortScape.

If you create invoices in SortScape that are sent to QuickBooks Online, the due date is set by QuickBooks — not by SortScape.

The QuickBooks Online invoice due date is based on the payment terms specified for the QuickBooks contact. If no payment terms are set for the contact, the due date uses the default payment terms for the QuickBooks account. Update those payment terms in QuickBooks Online to change the default due date for new invoices created from SortScape.
