The activity log

This feature requires a subscription to the SortScape Premium plan.

The activity log records who changed the items listed below, what they changed, and when it happened.

These are the records the activity log tracks:

  • Visits - Created, updated, completed, skipped, scheduled, rescheduled, removed from the schedule, or deleted. Email and SMS sent from a visit also appear.
  • Notes - Created, updated, or deleted
  • Properties - Created, updated, archived, unarchived, or deleted
  • Job runs - Created, moved, updated, or deleted
  • Invoices - Created, sent, paid, payment applied, updated from Xero or QuickBooks Online, or deleted
  • Quotes - Created, sent, accepted, scheduled, declined, archived, unarchived, updated, or deleted
  • Requests - Created, updated, converted, archived, unarchived, or deleted
  • Issues - Created, completed, reopened, updated, or deleted

For example, if you reschedule a visit, mark it as completed, update a property address, or record a payment on a SortScape invoice, that action appears in your activity log.

1. Open SettingsSystemActivity log.

2. You’ll see changes to the records listed above

You can also see the activity history for individual jobs or properties:

1. Open a Job or Property page

2. Look for the Activity log menu option

3. Click it to see a modal showing only the changes made to that specific record

Each entry in the activity log shows:

  • Date & Time - When the change was made
  • Action - What happened (e.g., “Visit completed,” “Property updated,” “Visit rescheduled”)
  • User - Who made the change (or “System” for automatic changes)
  • Details - The specific fields that changed, showing the old value and new value Invoice payment entries can show the payment amount, payment date, and payment method.

The activity log provides several filters to help you find specific changes:

Use the date picker to view activity between specific dates. This is helpful if you’re looking for changes made during a particular week or month.

Filter by the type of change:

  • Visit actions - Created, Updated, Completed, Scheduled, Rescheduled, Deleted, and similar
  • Note actions - Created, Updated, Deleted
  • Property actions - Created, Updated, Archived, Unarchived, Deleted
  • Job run actions - Created, Moved, Updated, Deleted
  • Invoice actions - Created, Sent, Payment applied, Marked as paid, Deleted, and similar
  • Quote actions - Created, Sent, Accepted, Scheduled, Declined, Archived, Deleted
  • Request actions - Created, Converted, Archived, Deleted
  • Issue actions - Created, Completed, Reopened, Updated, Deleted

See only changes made by a specific employee. This is useful if you want to review what a particular person did.

If you notice something unexpected (like a date change or a deleted visit), you can check the activity log to see what happened, when, and who made the change.

Use the activity log to demonstrate accountability to clients or for internal compliance purposes. It shows who changed the records listed above.

If you’re confused about why a job status changed or when a property was archived, the activity log shows the complete history.

As an admin, periodically review the activity log to ensure your team is making appropriate changes and following proper procedures.

Only admin users in your account can view the activity log. This ensures sensitive information about changes is only visible to authorized employees.

The log stores data for 90 days, after which it is automatically cleared.

As an administrator, open SettingsSystemActivity log to see all deleted visits.
