Invoice tax handling in QuickBooks Online

Last updated:

When you invoice through QuickBooks Online, SortScape does not show SettingsInvoicingInvoices. That page is only for SortScape built-in invoicing. Do not disconnect QuickBooks Online just to change GST.

Add GST on top of the price (tax exclusive)

Section titled “Add GST on top of the price (tax exclusive)”

For Australian, New Zealand, and UK companies, SortScape treats visit prices as already including GST or VAT unless you change this.

  1. Open SettingsIntegrationsQuickBooks Online.
  2. Under Invoice settings, find GST inclusive (Australia), VAT inclusive (UK), or Tax inclusive (New Zealand and other non-US countries).
  3. Turn it off.

New invoices created from SortScape will add GST on top of the price. Invoices already created in QuickBooks Online do not change.

This setting is not shown for US QuickBooks companies. US tax is handled as taxable or not taxable on each QuickBooks product.

Leave GST inclusive on. The price you enter in SortScape already includes GST. SortScape splits out the tax when it creates the QuickBooks invoice.

SortScape starts from the GST inclusive setting above. If a QuickBooks product or service has its own tax-inclusive setting, that product wins for that line.

If one line still includes GST after you turn the company setting off, edit that product in QuickBooks Online and set whether its price is tax inclusive or exclusive. Then open SettingsIntegrationsQuickBooks Online and click Sync with QuickBooks now.

The tax rate (for example GST vs GST free) also comes from the QuickBooks product. If the product has no tax code, SortScape uses Default tax account for invoices on the same QuickBooks Online settings page.

That is expected while QuickBooks Online is connected. GST settings for QuickBooks invoices live under SettingsIntegrationsQuickBooks Online. Stay connected.

Only disconnect if you actually want to stop using QuickBooks Online. See Switching invoicing method.
