Optional line items on quotes

Optional line items let you put recommended add-ons on a quote without forcing the customer to buy them. The customer can include or exclude those lines before they accept, and the quote total updates to match their choices.

Use this when you want one quote that covers the core work plus extras. For example, a garden tidy might include fertiliser, mulch, or extra pruning as optional add-ons. The customer picks what they want, you get a clear accepted scope, and you do not need to send separate quotes for every combination.

  1. Open a quote and edit a line item.
  2. Check Mark as optional.
  3. Optionally check Included by default if you want that add-on counted in the quote total until the customer changes it.
  4. Save the line item.

Required line items (anything not marked optional) are always included in the total.

On the quote itself, optional lines show an Optional or Not included badge. While the quote is still a draft or sent, you can also use the checkbox column to turn Included by default on or off without reopening the line item editor.

When the customer opens the quote link, they can tick which optional items to include. The total and tax update as they change their selections.

When they accept the quote, SortScape records the options they chose. Those choices become the accepted scope for the job.

When you schedule a visit from an accepted quote, only the included line items are copied across:

  • Required items always copy.
  • Optional items copy only if the customer included them (or, if you accepted the quote yourself without customer selections, if they were included by default).

Optional items the customer left out stay on the quote as a record of what was offered, but they do not move onto the visit.

  • After a quote is accepted or scheduled, line items are locked. Change the status back to draft or sent if you need to edit them.
  • Quote PDFs list every offered line, including declined optionals, so you keep a full audit trail. Declined optionals are shown as muted rows.
  • If you do not see Mark as optional when editing a quote line item, contact support to enable the feature (Premium plan required).
