All photos

Last updated:

All photos gives administrators one place to browse, filter, and download photos and files uploaded across visits and properties.

Use it when you want to review field photos without opening each visit, find files from a specific property or crew member, or download a batch of photos for your records. It can also be a handy way to find good before-and-after photos for your website or social media.

All photos includes:

  • Visit attachments — photos and files uploaded to individual visits, usually from the mobile app or visit detail page.
  • Property attachments — files uploaded directly to a property record.

All photos does not include every attachment in SortScape. For example, request form photos and files attached only to quotes or invoices do not appear here unless they were also uploaded as visit or property attachments.

The gallery can show more than just images. PDFs and other documents appear as tiles with the filename shown. Images and PDFs open in a viewer, while other file types open in a new browser tab.

  1. Go to Settings.
  2. In the sidebar, open Visits.
  3. Select All photos.

If you do not see All photos in your account yet, contact support.

Each tile shows the property name, upload date, and who uploaded the file.

Scroll down to load more photos and files. The gallery loads more results as you scroll, so very large photo libraries do not have to load all at once.

A summary line shows how many files match your current filters. For smaller result sets, it may also show how many properties are represented.

You can use the controls at the top of the page to narrow the gallery:

  • Property — show files for one property, or all properties.
  • Uploaded by — show files uploaded by a specific employee, or anyone.
  • Uploaded date — show files uploaded within a date range.
  • Sort — show newest files first or oldest files first.

Filters update the gallery immediately. They are also reflected in the page URL, so you can bookmark a filtered view or share it with another administrator on the same account.

Click a tile to open it:

  • Images open in a full-size viewer.
  • PDFs open in the built-in PDF viewer.
  • Other file types open in a new browser tab.

If automatic timestamps on photos are enabled, the viewer may show the timestamped version of visit photos. Thumbnails in the gallery use the original upload. This lets you browse the original files quickly while still viewing proof-of-service overlays when opening a photo.

Use the checkbox on each tile to select files, then click Download to download them as a ZIP file. You can also use Select all to select everything currently loaded on the screen.

There are a few limits to keep in mind:

  • Downloads have a 50 MB maximum. If your selection is too large, deselect some files and try again. The toolbar shows the selected size.
  • Select all only selects files that are currently loaded in the gallery. Scroll down to load more files before selecting them.
  • Downloads contain the original uploads, not timestamped or branded versions. For branded exports, use individual visit attachments or service reports instead.
  • If you change filters after selecting files, a download may fail if some selected files are no longer available under the current filters.
  • To see photos for a single visit, open that visit as usual. All photos is designed for browsing across many visits and properties.
  • Property attachments uploaded from a property detail page also appear in All photos.
  • Photos from archived properties may still appear.
  • For very large accounts, the count may display as 10,000+ photos.
