Update one visit in a repeating series

When this feature is on, you can change one visit in a repeating series and leave the later visits as they are. Use it when one day needs extra time, different work, or a different price, and the rest of the series should stay the same.

  1. Open Schedule and click the visit.
  2. Click Edit. If you don’t see Edit, it is in the ⋯ menu.
  3. Change what you need. For example Estimated time, Work required, Start and end time, Invoice items, Hourly rate, or Tags.
  4. Click Update.
  5. In Update repeating visit, choose This visit only.
  6. Click Update again.

This and all future visits is already selected. Leave it selected when the change should copy forward. That updates this visit and every later visit in the series that is not completed or skipped.

The dialog lists what you changed under Changed. It also says how the visit repeats, for example every 2 weeks.

You only see this dialog when a later visit would be updated. Completed and skipped visits are left alone. Past visits are not changed.

If this is the last open visit in the series, SortScape saves without asking, because there is nothing later to update. New visits added after that one start from this visit, so a change you make here is copied onto them.

The same dialog appears when you edit a repeating note. It is titled Update repeating note. The choices are This note only and This and all future notes.

It covers the note’s Title, Description, Colour, Address, Estimated time, Start and end time, and Tags.

This visit only keeps the change on the visit you opened. The Changed list is exactly what that choice applies to. Common fields:

  • Estimated time
  • Start and end time
  • Work required
  • Invoice items: a new line, a changed price or quantity, or a removed line
  • Hourly rate and Est value
  • Requires invoicing and Charge hourly based on time logged
  • Requires customer confirmation
  • Tags

A new invoice line saved with This visit only applies to that visit and shows a “1” icon. The same new line saved with This and all future visits shows the repeating icon and is copied forward.

Changing the price on a line that already repeats does not change its icon. It still shows the repeating icon. The new price stays on this visit until someone edits that same line and chooses This and all future visits.

You can also add an extra charge while viewing the visit, without opening Edit. See One-off charges on a single visit.

This visit only is unavailable when you change the schedule. The option says Schedule changes apply to the whole series. These always update this visit and the visits after it:

  • Due date
  • Repeats, including how often it repeats. To stop the series, see Stop a repeating visit
  • Ending
  • Crew

Dragging a visit to another day is separate. The move stays on the day you dropped it unless you apply it to future visits. See Rescheduling visits in SortScape.

General instructions are stored on the property. Changing them updates every visit at that property. They are not part of this dialog.

Marking a visit complete, skipping it, logging time, adding photos, or ticking a checklist item only affects that visit. Those actions do not open this dialog.

This and all future visits warns you when a later visit already has its own value for something you changed, such as its own estimated time or price. Updating overwrites that value. You can still continue.

This visit only does not change later visits, so it does not show that warning.

A one-visit change can be overwritten later if you do any of these:

  • Edit the same field on an earlier visit and choose This and all future visits.
  • Change the due date, repeat pattern, ending, or crew, which rebuilds the later visits.
  • Drag a visit and apply that move to future visits.

SortScape warns you before those updates. Read the warning, then click Update if you still want to go ahead.

Contact support and ask them to turn on updating a single visit in a repeating series.

Until it is on, Update still copies the change to every later visit in the series. If you only need an extra charge, add a one-off invoice line while viewing the visit. That does not need this feature. See One-off charges on a single visit.
