Job settings
Last updated:
Administrators can update the following job settings for your company’s SortScape site.
Where to find job settings
Section titled “Where to find job settings”Open Settings → Jobs → Job settings.
This screen is different from the per-user Compact / Detailed options on the schedule itself. Those are Schedule display settings, not company job settings.
Enable calendar view
Section titled “Enable calendar view”Turn on Enable calendar view to add Calendar day, Calendar week, and Calendar month to the schedule view menu. See Calendar view.
Hourly rate
Section titled “Hourly rate”The average hourly rate you charge. SortScape uses this when you tick Charge hourly based on time logged on a job to auto-fill the estimated hours line item (hours × hourly rate). You can still set a different hourly rate on an individual job if needed.
Set this before creating time-and-materials jobs if you want estimated values to calculate automatically.
Week days worked
Section titled “Week days worked”This determines which days of the week appear on the schedule. Jobs can only be scheduled on these days. For example, if week days worked is Monday to Saturday then jobs cannot be scheduled for Sundays.
On its own, this setting does not control when automatic reminder texts and emails go out. If you turn on Only send reminders on work days, reminders skip the days outside your work week. See Only sending reminders on work days.
What happens when you change this setting
Section titled “What happens when you change this setting”Changing week days worked rebuilds the schedule from today forward.
Incomplete jobs from today onward that fall on a day you no longer work are moved to the previous work day:
- Saturday moves to Friday if the week is Monday to Friday.
- Sunday moves to Friday if the week is Monday to Friday, or to Saturday if the week is Monday to Saturday.
Repeating jobs are recalculated so future jobs land on work days. For a daily repeating job, Saturday and Sunday drop out of the series. They do not become extra Friday jobs.
Completed jobs stay on their original dates. Saturday and Sunday no longer appear on the schedule, so look on Friday (or open the property and use the Jobs tab) if you are trying to find work that used to sit on the weekend.
This is not the same as skipping a job. A skipped job is one you marked as skipped.
Show skipped jobs on the schedule?
Section titled “Show skipped jobs on the schedule?”Default is Yes. Skipped jobs and notes stay on the schedule with a line through them.
Turn this off to hide skipped jobs and notes from the schedule. Use this when Skip is the right action (one cancelled job in a repeating series) but you do not want those skipped items cluttering the board. The setting is company-wide. Skipped jobs still appear on the property’s Jobs tab.
Track invoiced jobs?
Section titled “Track invoiced jobs?”This setting is automatically enabled when “time and materials tracking” is enabled. This setting adds an extra “mark invoiced” step to each job so you can see which jobs still need to be invoiced. It also adds an Invoicing screen listing completed jobs pending invoicing. You can also create invoices from individual jobs before they are marked complete; see Invoicing customers.
Default invoicing basis
Section titled “Default invoicing basis”This is the company default for new jobs only.
On accounts created after October 2024, the toggle is Set jobs to “requires invoicing” by default. Turn it off only if you want every new job to start as non-billable.
To stop invoicing one customer or one repeating job, edit that job and turn off Requires invoicing. If SortScape asks which jobs to update, choose This and all future jobs so later jobs stay non-billable. See Make a repeating job non-billable.
Job title on schedule
Section titled “Job title on schedule”By default, we show the property address as the title of each job on the schedule. However you can set this to be the contact name instead. That will show the client’s name first and the property address underneath.
Show service contact name on the schedule?
Section titled “Show service contact name on the schedule?”Default is Yes. Turn this off to hide the contact name from the schedule and make the schedule display in a more compact format. Note that this doesn’t pertain to the print view of the schedule. Note, this is only applicable if job title on schedule is set to “Property address.”
Show contact name on the schedule print view?
Section titled “Show contact name on the schedule print view?”Default is Yes. You can uncheck this to hide the contact name from the schedule print view so that employees won’t see the contact name on the printed schedule.
Show estimated job value to non-administrators?
Section titled “Show estimated job value to non-administrators?”Default is No. You may decide to set this to Yes if you do want employees and contractors to see the estimated job value.
Crew time scaling
Section titled “Crew time scaling”Default is Classic. Configure how estimated job times are calculated when multiple crew members are assigned to a job run. This setting affects how time estimates are displayed for job runs on the schedule and also in the route optimisation.
The available settings are:
- Classic (divide by crew size)
- 30% reductions per additional crew member
- Fixed time (no reduction)
Job checklists enabled?
Section titled “Job checklists enabled?”Default is Yes. This enables the job checklists feature such that any line starting with a dash (”-”) typed into the work required field will be turned into a checklist.
Email addresses to cc when emailing schedule
Section titled “Email addresses to cc when emailing schedule”When emailing the daily and weekly schedule to your staff, these email addresses will be cc’d. Separate multiple email addresses with commas (,)
Seasonal schedule settings
Section titled “Seasonal schedule settings”To allow for different repeating frequencies throughout the year, SortScape has the concept of “seasonal schedules.” Learn more here.
