FAQ - How do I export visit information for a specific customer?

Last updated:

You can export completed visits for one property (and optionally limit by date) so you have a spreadsheet of visit details, including work information. This is useful when you need the “work required” or “work done” text for a specific site over a period (e.g. two weeks).

To check whether completed visits still need invoicing, open Invoicing → Visits pending invoicing. See Invoicing customers.

To export completed visits for all properties at once, use Invoicing → ⋮ → Export completed visits and leave Property blank.

Steps (one property)

  1. Go to the property (site) you want — open it from the property list or search.
  2. In the upper right of the property page, open the dropdown menu (the “more” or three-dots button).
  3. Choose Export completed visits (or “Export completed jobs”, depending on your account wording).
  4. In the modal that opens:
  • The property is usually already selected when you opened the export from that property’s page.
  • Set Completed between to your date range (e.g. the last 2 weeks). This filters on the date the visit was marked complete, not the scheduled date.
  • Choose whether to Include invoiced visits and / or skipped visits.
  1. Click Export. A CSV file downloads with one row per completed visit (and extra rows for expense items).

CSV columns

Useful columns in the download include:

  • Date — completion date
  • Property, Contact, Work done, Note
  • Note — logged hours with employee names when hours were recorded (for example, 2.5 hrs - John Smith)
  • Est hours, Est value, Invoiced?, Invoice #

Default filter

Unless you check Include invoiced visits, the export only includes visits not yet marked invoiced.

There is no separate crew column. For assigned crew and scheduled-week reporting, use Schedule → Tools → Export → Scheduled instead (How do I export all the jobs on my schedule?).

Tip

If you don’t set a date range, the export includes all completed visits for that property (up to the system limit). Use the date range to get only the period you need (e.g. the last 2 weeks).

If your crews often complete last week’s scheduled work in the following week, visits will not appear in a “completed last week” export until they are marked complete. Export the scheduled week from Schedule → Tools → Export → Scheduled instead, then filter in Excel on Resolution date or Resolved? (How do I export all the jobs on my schedule?).
